If a product is not found on the shelf, you must verify inventory with the store.
Here’s how:
#1 Ask a store associate or manager with a handheld scanner for help.
Say:
“Can we please scan this item to check the store’s inventory count?”
#2 Have them scan the barcode in their system.
#3 Take a clear photo of the scanner screen showing the inventory count.
If the system shows inventory available, but the product is NOT on the shelf:
Politely say:
“It looks like the system shows inventory, but we’re not seeing it on the floor. Would you be able to adjust the count to match what’s actually available?”
If they agree and correct it:
• Take a photo of the updated scanner screen
• Take a photo of the shelf showing the product is not present
If they cannot or will not adjust inventory:
• Take a photo of the scanner screen
• Take a photo of the shelf
• Add a detailed comment explaining what the store said - This is Key
Example:
“Scanner showed 12 on hand. Manager unable to adjust inventory and document the true reason.”
Clear photos and notes are required.
This data is critical for the client and helps ensure accurate reporting.
